Job Summary:
We are seeking a highly organized and proactive Marketing Project Specialist to support the execution and delivery of marketing initiatives across the business.
This role is responsible for managing workflows, coordinating production, and ensuring marketing projects are delivered on time and with accuracy. You will help manage project intake, maintain timelines, and coordinate across marketing, sales, and cross-functional teams to keep work moving forward.
This role is focused on execution, coordination, an operational efficiency, rather than strategy or creative development, ensuring marketing plans are successfully brought to life.
This position is ideal for someone who enjoys organization, managing multiple moving pieces, problem-solving, and bringing structure to fast-moving projects. You’ll work across teams in a fast-paced environment, taking ownership of keeping projects organized and on track, while helping improve how marketing operates day-to-day.
Key Responsibilities:
PROJECT & WORKFLOW MANAGEMENT
- Manage project intake, prioritize requests, and ensure clear deliverables
- Maintain clear visibility of all active projects and ensure deadlines are met
- Serve as the primary administrator of project management tools (Wrike or similar)
- Track progress, identify bottlenecks, and escalate risks when needed
- Facilitate regular project status updates and ensure alignment across teams
- Ensure projects are clearly scoped with defined deliverables and timelines
PRODUCTION & VENDOR COORDINATION
- Coordinate production of marketing materials across print, digital, retail, and tradeshow environments
- Manage external vendors including printers, fabricators, agencies, and freelancers
- Own timelines, estimates, and delivery of all production related work
- Ensure accuracy of files, specifications, and approvals prior to production
- Track vendor performance, timelines, and costs to support efficient execution
CAMPAIGN & EXECUTION SUPPORT
- Support execution of integrated marketing campaigns led by marketing leadership
- Coordinate assets, timelines, and deliverables across internal and external teams
- Ensure deliverables align with campaign timelines and requirements
- Maintain organization of assets, files, and final deliverables
TRADESHOW & EVENT EXECUTION
- Coordinate logistics, timelines, and vendor execution for tradeshows and events
- Manage timelines, production, shipping, vendors, and materials
- Coordinate cross-functional inputs to ensure alignment and successful execution
- Support post-event follow-up and internal alignment
CROSS-FUNCTIONAL COORDINATION
- Serve as the central point of coordination across marketing, sales, product, operations, and other cross-functional teams
- Translate requests into clear, actionable projects
- Ensure all stakeholders are aligned on timelines, responsibilities, and deliverables
BUDGET & ADMINISTRATIVE SUPPORT
- Track project budgets, estimates, and actual expenses
- Manage invoices, purchase orders, and vendor documentation
- Maintain organization and documentation across marketing initiatives

Education & Experience:
- Bachelor’s degree in Marketing, Business, Communications, or related field preferred (or equivalent experience)
- 2-4 years of experience in marketing, project management, or a related role
- Experience supporting cross-functional teams and managing multiple projects simultaneously
- Familiarity with project management tools (Wrike or similar) preferred
- Strong organizational and project management skills with high attention to detail
- Excellent communication and collaboration skills
- Highly proactive, organized, and solution-oriented mindset
- Experience working with sales teams, vendors, production, events, tradeshows, or partner programs (e.g., buying groups, distributors, or retailers) is a plus
