Role Overview
We’re seeking a versatile, detail-oriented Virtual Assistant to support a digital marketing
agency and help launch two new digital businesses. This role combines admin, marketing
operations, and light project coordination.
You’ll help polish documents and SOPs, build simple marketing assets, support outbound
campaigns in Apollo, and coordinate with freelancers/designers for a new file-cleanup service.
The ideal candidate thrives in fast-moving startup environments where priorities shift, and
takes pride in organization and follow-through

Key Responsibilities:
Project Coordination
Track tasks, timelines, and deliverables across agency + two new businesses.
Help create and maintain SOPs, checklists, and shared folders.
Coordinate with freelancers/designers (especially on Figma file cleanup projects).
Serve as point of contact for new file-cleanup service: intake client requests, log details, ensure smooth handoff/delivery.

Admin & Research
General admin support across the business (calendar, email organization, task follow-ups).
Conduct online research to support projects, campaigns, and new business development.
Format and polish training manuals, proposals, decks (MS Office).
Keep folder structures/files organized and version controlled.
Weekly reporting: tasks done, in-progress, and at risk.

Marketing Ops & Growth
Build and clean email lists; prep targeting inputs for Apollo campaigns.
Assist with cold email setup in Apollo (sequences, merge-field QA, targeting).
Draft/edit short copy (email subject lines, blurbs, one-pagers).
Create basic marketing materials and sales one-pagers (Canva).

MUST-HAVES

    • 3–4+ years as a VA/Project Coordinator in startup, agency, or creative business settings.
    • Exceptional organization & attention to detail (doesn’t over-rely on AI, double-checks work).
    • Canva proficiency (creating clean, branded assets).
    • MS Office (Docs/Word, Slides/PPT, Sheets/Excel).
    • Familiarity with outbound/growth tools (Apollo preferred; HubSpot, Lemlist, Instantly acceptable).
    • Strong written communication and ability to follow up proactively.
    • Comfortable working U.S. Eastern hours.

Nice-to-Haves

    • Figma familiarity (to liaise with designers, light editing).
    • Experience coordinating freelancers or vendors.
    • CRM or task tool knowledge (Notion, Trello, Asana, etc.).
    • Light brand/layout sense to polish SOPs and marketing docs.
$500 - $1,100 a month
Employment: Part-Time (20 hrs/week) to start → option to scale to Full-Time (40 hrs/week) Time Zone: Eastern Time overlap (US EST)
