Position Overview
The Internal Projects & Marketing Assistant is a hybrid role responsible for leading strategic internal initiatives while also supporting marketing operations, campaigns, and brand execution. This position works cross-functionally across departments to improve operational efficiency, support company growth initiatives, and ensure successful execution of marketing and internal business projects.
The ideal candidate is highly organized, proactive, and comfortable balancing project management responsibilities with creative collaboration and marketing coordination. Approximately 50% of the role will focus on internal operational projects and process improvement initiatives, while the remaining 50% will support marketing campaigns, communications, and brand-related initiatives.
Internal Projects & Operations (50%)
- Develop and manage project plans, timelines, milestones, and resource requirements for assigned internal initiatives.
- Define project scope, deliverables, and objectives in collaboration with company leadership.
- Coordinate multiple projects simultaneously across departments and business units.
- Track project progress, budgets, risks, and dependencies to ensure successful delivery.
- Facilitate collaboration between departments to maintain alignment and accountability.
- Identify operational inefficiencies and implement process improvement solutions.
- Serve as a primary point of contact for project stakeholders and leadership teams.
- Provide recurring status updates, reporting, and project documentation.
- Schedule and lead project meetings while documenting key decisions and action items.
- Assist leadership with prioritization and execution of strategic company initiatives.
- Conduct research, reporting, and data analysis to support operational decision-making.
- Support organizational change management and implementation efforts.
Marketing & Brand Support (50%)
- Assist with planning, coordinating, and executing marketing campaigns and company promotions.
- Collaborate with internal teams and external vendors to support marketing initiatives.
- Help manage campaign timelines, deliverables, and creative assets.
- Support development of marketing materials, presentations, social media content, email campaigns, and internal communications.
- Coordinate brand messaging consistency across departments and platforms.
- Assist with company announcements, promotional efforts, and customer-facing communications.
- Track campaign performance metrics and assist with reporting and analytics.
- Maintain marketing calendars, project trackers, and asset organization systems.
- Support website updates, marketing databases, and digital content coordination.
- Assist with planning company events, trade shows, recruiting events, and internal engagement initiatives.
- Coordinate branded materials, promotional items, and marketing collateral.
- Help strengthen company culture and brand visibility through creative initiatives.
Qualifications
- Bachelor’s degree in Business Administration, Marketing, Project Management, Communications, or related field preferred (or equivalent experience).
- 2–5 years of experience in project management, marketing coordination, operations, or related roles.
- Experience managing cross-functional projects and timelines preferred.
- Proficiency with Microsoft Office, Teams, OneDrive, and project management platforms.
- Familiarity with marketing tools, social media platforms, CRM systems, or email marketing software is a plus.
- PMP, CAPM, marketing certifications, or related credentials are beneficial but not required.
